Position Summary
The Administrative Support Coordinator provides administrative and operational support across Ken Anderson Alliance’s programs, facilities, vehicles, HR, marketing activities, and volunteer services. Serving as a central point of contact for participants, families, caregivers, staff, visitors, vendors, and community members, the coordinator helps ensure timely communication, accurate documentation, and responsive support throughout the organization.
The ideal candidate is organized, dependable, and self-motivated, capable of taking initiative and willing to shift between multiple tasks and responsibilities throughout the day. As the first person many participants, families, visitors, and community members encounter when entering the building, this role is responsible for creating a welcoming, respectful, and professional first impression. The coordinator should be approachable, attentive, and responsive while helping each person feel acknowledged, supported, and connected to the appropriate staff or resources.
Job Type: Full-time
Pay: $18.00/hour
Expected hours: 40 hours per week
Schedule: 8am-4pm, Monday-Friday
Work Location: In person
Essential Duties and Responsibilities
- Program Support
- Serve as the initial point of contact for program-related inquiries by email and phone, directing questions to the appropriate staff member as needed.
- Coordinate arrival and dismissal procedures for ADS facility programs, including attendance-related data entry.
- Communicate participant and family or caregiver updates to staff.
- Provide program support during staff shortages and other all-hands situations as needed.
- Operational Support
- Manage ordering and replenishment of building and program supplies.
- Complete daily cleaning checks and replenish program areas as needed; maintain plants and foliage inside and outside the building.
- Assist with data entry and management of expense receipts and program invoices.
- Coordinate and communicate with vendors and management staff regarding facility repairs and maintenance.
- Manage vehicle maintenance needs and related service arrangements, scheduled vehicle supply and safety checks, coordinate vehicle cleaning, and maintain necessary documentation.
- Other duties necessary to support daily operations as needed
- Human Resources Support
- Support new-hire onboarding and serve as the point of contact for new hires throughout the initial onboarding process. Track onboarding progress and communicate status updates to managers, directors, and executive leadership to support timely completion.
- Assist with maintenance of personnel files in accordance with DODD compliance standards for all new hires.
- Monitor staff certification and training compliance, including CPR and First Aid certifications, FBI/BCI and BMV checks, and DODD-required initial, new-hire, and annual trainings.
- Development Support
- Assist with gift acknowledgement processes.
- Support projects and tasks related to event preparation, donor relations, and marketing communications as needed.
- Volunteer Coordination
- Serve as the primary contact for inquiries from prospective individual program volunteers, excluding corporate volunteer groups.
- Manage onboarding and orientation for new program volunteers.
- Track and maintain directory information for program volunteers.
- Communicate with program managers regarding volunteer issues and needs.
Requirements
- Excellent written and verbal communication skills.
- Excellent organizational and multitasking skills.
- Proficient in MS Office programs including Word, Excel and Outlook.
- Ability to maintain confidential information, including HIPAA compliance.
- Flexibility in varied job assignments.
- A passion for contributing to the mission of a disability-focused nonprofit organization.
- Experience working with individuals with disabilities a plus.
